WhatsApp Business API vs linked device: which to use with AI
By Patrick Alex, CEO of SyncZap · Published
Use the official WhatsApp Business Platform when you need automated, high-volume conversations with customers on a business number and want to stay fully within Meta's rules. Use a linked-device connection when you want an AI assistant to work with the WhatsApp you already use, including its history and groups, with a person approving each message. They solve different problems, and the trade-offs are cost, history, groups and policy risk.
How each one works
The Business Platform (Cloud API) is Meta's official channel for companies. You register a business number with Meta, usually through a provider, and your software receives and sends messages through Meta's servers. Messages that start a conversation outside the 24-hour customer-service window must use pre-approved templates, and Meta charges per message for most templates.
A linked device is the mechanism WhatsApp Web and WhatsApp Desktop use: you scan a QR code with your phone and another device receives a copy of your chats, end-to-end encrypted. Services like SyncZap join as a linked device on their servers, so they see the same chats and groups you do, with no registration with Meta and no per-message fees. The phone stays the primary device.
Side by side
| Official Business Platform (Cloud API) | Linked device (e.g. SyncZap) | |
|---|---|---|
| Number | A number registered for the API; it cannot be used in the normal app at the same time unless your provider supports coexistence | The number you already use, in the same app |
| Your existing history | Not available; only messages from the moment the API is connected | What your phone sends to linked devices (in SyncZap up to 1,000 older messages on Plus and Pro, everything from Max) |
| Groups | Limited and not available to every account | Your normal groups, with their own sync switch |
| Starting conversations | Templates that Meta must approve, outside the 24-hour window | Like a person: any message, confirmed by you |
| Cost | Provider fees + Meta's per-message fees | A subscription; no per-message fees (SyncZap: $10 to $53.99/month) |
| Automation and bots | Allowed within Meta's policies (general-purpose AI assistants are restricted since 2025) | Not intended for bots; SyncZap sends only after a person confirms |
| Policy risk | Low when you follow the rules | Unofficial: WhatsApp's terms restrict unofficial clients and automation; a number can be restricted |
What changes when you add AI
With the official API, the AI usually sits behind your business number and answers customers, as a bot. That is the use the API was built for, but since October 2025 Meta's terms restrict providers whose main product is a general-purpose AI assistant, which is why ChatGPT left WhatsApp (details). Customer-service bots for your own business remain allowed.
With a linked device, the AI works for you, not for your customers: you ask ChatGPT or Claude to find a message, summarize a group or draft a reply, and you decide what is sent. Because nothing answers automatically, the pattern of use stays close to a person using WhatsApp Web, which is the safest way to use an unofficial connection. SyncZap's only automatic message is the optional delivery of voice-note transcripts, turned on by an owner or admin.
Being honest about the linked-device risk
WhatsApp does not offer linked devices as an integration platform, and its terms prohibit unauthorized automated or bulk use. Bans usually follow spam patterns: many messages to people who never wrote to you, lists, campaigns, new numbers sending at volume. SyncZap does none of that and requires confirmation for every send, but no third party can guarantee WhatsApp will never restrict a number. If a number is critical and you cannot accept that risk, use the official platform.
Who each option is for
- Official Business Platform: support and sales teams that run bots, send notifications or campaigns at scale, need several agents on one business number and want to stay within Meta's policies.
- Linked device: owners, freelancers and small teams who want ChatGPT or Claude to work with the WhatsApp they already use (history, groups, voice notes) and keep a person in charge of every message.
- Both: some companies use the official API for automated customer service and a linked-device connector for internal and personal chats. SyncZap's AI assistant add-on plans automatic replies only on official Cloud API numbers.
Frequently asked questions
Is a linked-device connector allowed by WhatsApp?
It is not an official integration. WhatsApp's terms restrict unofficial clients and automation, so there is a risk of restriction, which grows with spam-like use. Use the official platform if you cannot accept that risk.
Can the official API read my personal WhatsApp history?
No. The Business Platform only handles messages to and from the registered business number from the moment it is connected.
Is the linked device more expensive or cheaper?
There are no per-message fees with a linked device; you pay the connector's subscription. With the official API you pay a provider and Meta's per-message fees for most templates.
Does SyncZap use the official API?
No. SyncZap connects your number as a linked device, like WhatsApp Web. It is not Meta's WhatsApp Business Platform.
