How to transcribe WhatsApp voice notes (and summarize them with AI)
By Patrick Alex, CEO of SyncZap · Published
The quickest way to transcribe a WhatsApp voice note is the app's built-in transcripts: turn them on in Settings → Chats → Voice message transcripts, then long-press a voice note and tap Transcribe. When you need more, such as searching, summarizing or answering many voice notes from customers, connect WhatsApp to ChatGPT or Claude so the AI can transcribe on request or automatically.
Option 1: WhatsApp's built-in voice message transcripts
- 1
Turn transcripts on
In WhatsApp, open Settings → Chats → Voice message transcripts, switch it on and choose the language.
- 2
Transcribe a voice note
In a chat, long-press (Android) or tap and hold (iPhone) a voice note and choose Transcribe. The text appears under the audio.
- 3
Read, do not copy
The transcript is shown on your phone only. You can read it, but it is not saved as a message or shared with the sender.
Transcripts are generated on your device, so the audio does not leave the phone. Limits: the supported languages depend on your phone and app version, transcripts are one at a time, they are not searchable across chats and there is no summary. Menu names vary slightly between Android and iPhone.
Option 2: transcribe and summarize with ChatGPT or Claude
When voice notes are part of your work (orders, quotes, supplier updates), you usually want more than a transcript: a summary, the prices mentioned, or a reply. With a WhatsApp connector such as SyncZap, you ask your assistant in plain language and it transcribes the voice note through the connector:
- “Transcribe the last three voice notes from Carlos and list what he ordered.”
- “Summarize the voice notes in the Installers group from today.”
- “Which customers sent voice notes yesterday that we have not answered?”
- “Transcribe this voice note and draft a reply confirming the price.” (The reply only goes out after you confirm.)
On-demand transcription is available from the Pro plan, with up to 120 minutes of audio per day on Pro and Max and 500 on Business. The transcript is saved as text next to the message, so later searches and summaries include it without transcribing again.
Option 3: automatic transcription of every received voice note
From the Max plan, an owner or admin can have every received voice note transcribed as it arrives, and choose where the text appears:
| Setting | What happens | Who sees it |
|---|---|---|
| Off | Voice notes are transcribed in the panel and for assistants, nothing is sent on WhatsApp | Your team, in SyncZap |
| My chat “Message yourself” | SyncZap sends the transcript to your own number's chat | Only you; the contact receives nothing |
| Reply in the conversation | SyncZap replies to the voice note, quoting it, with the transcript | You and the contact |
Automatic delivery only applies to voice notes you receive, never to the ones you send. Groups are left out of the in-conversation reply unless you also turn on Include groups. Each voice note generates at most one automatic message, marked as an automatic transcript, and it is never transcribed again. This is the only automatic message SyncZap sends; everything else waits for a person to confirm.
How to set it up
- Create a SyncZap account (7-day free trial with every feature, including automatic transcription) and link WhatsApp with the QR code.
- Turn on sync for the chats whose voice notes you want transcribed.
- Optional: in the panel, choose the automatic transcript delivery (off, your own chat or reply in the conversation).
- Connect ChatGPT or Claude with the MCP server URL to ask for transcripts and summaries in plain language: ChatGPT guide, Claude guide.
https://synczap.ai/mcpPrivacy: where the audio goes
- Voice notes stay on your phone. SyncZap downloads a temporary copy only when someone asks for a transcript (or automatic transcription is on) and deletes it from its servers 24 hours after the download.
- To transcribe, the audio is sent to an AI provider listed in the privacy policy (today Google's Gemini API or, alternatively, OpenAI's API), which returns the text.
- Only chats with active sync are processed. A chat without sync is never transcribed.
- If you reply in the conversation with the transcript, the contact sees it. Tell your contacts if that matters for your business.
Which option to choose

| Summaries and search | No | Depends on the app | Yes, across synced chats |
| Automatic | No | No | Yes, from Max |
| Audio leaves the phone | No | Yes | Yes, temporary copy deleted after 24 h |
Frequently asked questions
Does WhatsApp transcribe voice notes?
Yes. Turn on Settings → Chats → Voice message transcripts, then long-press a voice note and tap Transcribe. Language support depends on your phone and app version.
Can ChatGPT transcribe WhatsApp audio?
Yes, through a WhatsApp connector: you ask ChatGPT to transcribe or summarize a voice note and the connector transcribes it. You can also upload an exported audio file to ChatGPT manually.
Can transcripts be automatic?
With SyncZap, from the Max plan every received voice note can be transcribed on arrival, and optionally delivered to your own chat or as a reply in the conversation.
Does the sender know I transcribed the voice note?
Not with the built-in transcripts or SyncZap's default setting. Only the “Reply in the conversation” option sends the transcript to the contact.
